Your Coin Tasking

Challenge Coins By Your Date

Your command needs the coins, and getting them in time depends on when you place the order. U.S. DOD Coins works with military units and government offices every week, so the in-hands date is the first thing to settle. You can pay by government card or by purchase order. The vendor records and the quote will be ready when your commander reviews the spend.

Setting the In-Hands Date

The free proof arrives within 2–4 business days of the quote request, so you have a design to show your command. Production takes 3–4 weeks. It starts only after the order is paid at checkout or the purchase order is accepted, and an approved proof alone does not start it. After production, shipping is free to any address in all 50 states and takes about 3–5 business days. APO, FPO, and DPO addresses ship by USPS at a rate shown at checkout and take about 2.5–3 weeks. When the in-hands date is too soon for standard production, American-made rush coins take 2 weeks and are sold as a separate product. The team cannot guarantee an in-hands date, since each coin is made to your order.

A change of command is a ceremony units often plan coins for. The date is set months ahead, and the commander's coin is presented there, often alongside a unit coin, so the in-hands date tool below takes that date. September 30 closes the federal fiscal year, and August and September are the busiest months before that close. Because the proof is free, you can start next year's design now and place the order later. If the coins ship to a base and the gate holds a delivery for a signature, name the person who will receive it, or send the coins to an address off base.

How You Pay

On October 1, 2025, the federal micro-purchase threshold rose from $10,000 to $15,000. Most units pay an order at or under that amount with a GPC. Each card has its own single-purchase limit, so check yours with your Agency/Organization Program Coordinator (A/OPC).

100 two-inch coins with color on both sides run $5.05 each, before any one-time mold fee. Sequential numbering adds $0.35 per coin. The smallest order is 5 coins.

After you approve the proof, you pay by card at online checkout. Checkout recognizes a GSA SmartPay card and warns you before payment if sales tax is about to be charged. Choose the Government Exemption tax option and attach your exemption certificate. The certificate stays attached to the order, and any certificate you save will be in your account for future orders. If a government card is declined, the bank has usually blocked the charge, even when the funds are there. Call the number on the back of the card to clear it.

Purchase Orders

A government purchase order is accepted on the organization's letterhead, signed and dated, with NET 30 terms and a total that matches the full order. Confirm with your sales rep that the PO was accepted. Production starts once the order is paid or the PO is accepted.

Download the PDF invoice from your order page and send it to your billing official.

Up The Chain

Every quote email carries a link to a formal PDF quote, meant for your approving official or for a purchase order. Take the proof image and that quote up the chain. Approval that passes through several supervisors can take time.

You are not charged until you place the order, so you can request design changes until the proof is right. If your funds arrive later in the new fiscal year, you can hold the order until then.

If your budget has a cap, give the team the approved amount. They can suggest changes that lower the price, such as dropping 3D relief.

Tip: Email from the team may arrive tagged [Non-DoD Source], and some government mail systems file outside mail as junk. A short reply to the first message helps later proofs and quotes reach you.

What Finance Needs

Before a GPC purchase, finance offices look the vendor up on SAM.gov. Many also ask for a CAGE code and a Section 889 representation. Search US DOD PRODUCTIONS LLC, Orlando, Florida, or UEI H39JKDRNBWQ7. The SAM.gov record is filed under the legal name and shows CAGE code 88DV9 and an active registration. Searching for the shop name, U.S. DOD Coins, may return no results.

Download the signed W-9 (EIN 83-2818388) and the Section 889 representation. In the representation, the company states that it does not provide or use covered telecommunications equipment or services. Your finance office can open the SAM.gov record with the UEI and find that 889 with the other FAR representations.

Offices that use their own 889 for the fiscal year, or their own vendor setup packet, can email the file to sales@usdodcoins.com. The team completes the form and returns it to you. One finance office held a quote until the team confirmed the UEI, because the name on its paperwork did not match the shop name. Put the legal name on the packet so it matches the SAM.gov record.

Correct On The Proof

Artists draw from your unit insignia, crest, and motto, and from your notes on aircraft, vessels, weapons, and rank. Common sizes are two inches and 1.75 inches, with color on both sides. Plating is antique or polished, and a rope edge is common. Sequential numbering is available for a numbered set.

To fix a detail, tell the team what is wrong: rank insignia, an aircraft or vessel drawn wrong, a misspelled word, or a motto changed after the unit was renamed. The graphics team makes the change and sends a new proof for you to review.

Next Point Of Contact

After the order, the mold stays on file for two years. A reorder of the same design skips the mold fee. Before the mold is recycled, you will get a reminder.

If a previous command or NCO ordered a coin, you can reorder it by giving the old order or quote number. Using that number, the team locates the design and prepares a new quote for your GPC purchase.

Common Questions

No. U.S. DOD Coins is not on a GSA Multiple Award Schedule. GSA's schedule does not cover promotional products or custom awards.

Yes. Email your agency's vendor registration form to sales@usdodcoins.com. The team will complete the form.

On October 1, 2025, the federal micro-purchase threshold rose from $10,000 to $15,000. FAR 2.101 and GSA SmartPay Smart Bulletin 002 are the references for that change. That $15,000 threshold is the one in force for 2026.

Yes. U.S. DOD Coins ships to a base in the United States and to an overseas military post-office address (APO, FPO, or DPO). At checkout, select United States as the country for both, because a military post-office address is a U.S. address. Shipping is free to any address in the 50 states, and APO, FPO, and DPO addresses ship by USPS at the rate shown at checkout and take longer to arrive. The in-hands date tool above includes an APO, FPO, or DPO option, so the approval date it gives allows for the longer shipping time.

Yes. Send the quote request before the funds are released. The form asks for the in-hands date, so that date is on record from the start. Your commander can review the proof while the funding action is still open.

When your unit's policy requires more than one quote, U.S. DOD Coins will get competing bids from other coin makers for you. You can send those quotes to your budget office for market research before the GPC cardholder makes the purchase.
